WineDirect Fulfillment provides warehouse and shipping services to wineries across the United States. Integrating your OrderPort account with WineDirect Fulfillment allows you to store wine offsite and ship with ease directly to consumers and club members. OrderPort and WineDirect will communicate directly to ensure wines are shipped on time, inventory is tracked, and customers are provided with the most up to date information on their delivery.

Getting Started
The integration requires you to have an account with WineDirect Fulfillment, and you will need API login credentials from WineDirect Fulfillment. To get the API credentials for the integration, please contact your assigned WineDirect Fulfillment Account Manager or email fulfillment.onboarding@winedirectfulfillment.com.
You must also contact helpdesk@orderport.net and ask for the WineDirect Fulfillment module to be enabled.
Once enabled, you can start setting up the integration.
Setting up the Integration
Once the integraiton is enabled, you can start setting it up in OrderPort Admin > Integrations > WineDirect Fulfillment.
Follow these steps to get started with the integration:
1. Enter the API Username and Password. These are not the same as the WineDirect Admin Portal login. You can get this information by emailing your assigned WineDirect Fulfillment Account Manager or fulfillment.onboarding@winedirectfulfillment.com and asking for an API Username and Password for the OrderPort integration.
2. Select the Account.
3. Add an email for error alerts. This allows you to be notified if there was a problem with the integration.
4. Select a Product Mapping Type.
- WDSKU: You will have to use the Catalog tab to manually map products from OrderPort to products from WineDirect.
- OPSKU: Requires that the product OPSKU from the OrderPort Catalog Manager matches the Product SKU set in the WineDirect Admin Portal.
- PartNo: Requires that the product PartNo from the OrderPort Catalog Manager matches the Product SKU set in the WineDirect Admin Portal.
5. Map your products (see below).
6. Set up your location preferences (see below).
Product Mapping
WDSKU: If you chose the WDSKU option for product mapping, you need to manually map each product in the Catalog tab. Any product that is not mapped will not be sent to WineDirect Fulfillment.
OPSKU & PartNo: If you select OPSKU or PartNo, you will need to match the Product SKU in WineDirect (not the WineDirect SKU) to the OPSKU or PartNo in the OrderPort Catalog Manager.
Locations Tab
If you have multiple inventory locations in OrderPort, you can choose which ones utilize the WineDirect Fulfillment. You can also choose to manually or automatically send orders to the WineDirect Fulfillment warehouse.
- If you select OrderPort Fulfillment for an OrderPort inventory location, any orders that ship out of that location will not utilize the Integration.
- The Notify on Export option allows you to configure when your customer is notified about the order being shipped. If you choose Yes, the customer will be notified as soon as the order is sent to the warehouse. If you choose No, the customer will be notified as soon as the warehouse ships the order.
- The Fulfil Mode has two options: Manual and Auto. Manual allows you to manually send each order to the warehouse or choose to fulfill it yourself on a case-by-case basis. The Auto mode sends each order to the warehouse automatically. If you use the Auto mode, please look at the Backorder Notification section below.
Orders Tab
The Orders Tab allows you to look at and search for WineDirect Fulfillment orders. Each order has a status. The Status Legend is also available in the Orders Tab.
- New - The order was created in OrderPort.
- Fulfillment Restricted - The order has some issues and needs to be reviewed and fixed in OrderPort by winery staff.
- Rejected By Warehouse - The Warehouse rejected the order. Check the logs of the order to review the response of the Warehouse system.
- In Progress At Warehouse - The Warehouse accepted the order and is currently being prepared to be shipped.
- Returned From Warehouse - The Warehouse returned the order to OrderPort so that the winery can edit it.
- Shipped - The Warehouse shipped the order and notified OrderPort. At this point, clicking "View" will allow you to see the tracking number of the order.
- Removed - The order was manually released from OrderPort without being sent to Warehouse.
- Canceled - The order was cancelled in OrderPort.
Each order has a view button, and a dropdown to the right. The View button opens the order in OrderPort. Under the dropdown, the Recall option allows you to bring the order out of WineDirect and back into OrderPort. The other options may be helpful when troubleshooting problems with orders.
Exported Information
Here is a list of everything that is exported:
- Order number
- Order type
- Billing address
- Shipping address
- Shipping method
- Shipping notes
- Order total
- Fees and taxes
- Products (quantity, SKU, name, total)
- Future ship date (when applicable)
Custom Zone Shipping Rates
You should contact your warehouse admin to get flat rate shipping methods. These must be added into OrderPort as Custom Zone Shipping Rates so that you are charging the correct shipping costs to your customers. Fulfillment Module (Manual Fulfillment Mode)
If you use the manual export function, you will use the Fulfillment module to send orders into the warehouse. In OrderPort Admin, the Fulfillment Module is under the Products category.
Orders will initially be in the To Import section. Once you finish inventory checks and push the order through, they will fall into the WineDirect Fulfillment carrier terminal. For more information on the Fulfillment process, please see this document: Fulfillment Module Quick Guide.
You will find the WineDirect Fulfillment orders at the bottom of the carrier terminals section.
Now, for each order, you will have the option to fulfill the order yourself, or to send it off to the warehouse. To fulfill it yourself, send the orders to OrderPort Fulfillment. To send it to the warehouse, click FF House. If you would like to request the warehouse to ship out the order on a specific date, set a future ship date prior to sending it out.
If you'd like to bypass the integration all together, you can download orders to a CSV file and upload them into WineDirect Fulfillment. If you decide to do this, you must mark the order as manually uploaded into WineDirect Fulfillment. To do this, please see the Export History section above.
Backorder Notification (Automatic Fulfillment Mode)
If you use the Auto fulfill mode, you need to be aware of the backorder function. If an order is made, but there is insufficient inventory to fulfill the order, the order will be backordered and will not process. In order to be notified of backorders, you need to subscribe to the backorder notification in the Marketing module.
Go to the Marketing module, then to the Notifications tab. Search for the Backorder Alert notification and add yourself to the BCC for it.
