Card Reader Pairing and Troubleshooting OrderPort Five and OrderPort Restaurant

Overview

This document covers the initial process of pairing contactless EMV card readers with an iPad or iPhone for use with  OrderPort Five, or OrderPort Restaurant. It also includes troubleshooting steps if you have Bluetooth connection issues or trouble with reading credit cards. 

Note that these readers will allow touchless payments through Near Field Communication (NFC). This includes credit cards with the touchless symbol or ApplePay/GooglePay on a cell phone. The readers also support EMV chip cards. Swiping cards is no longer a valid method, so the card swiper will not function. Also, if your processor is OpenEdge, then note that OpenEdge does not currently support touchless/NFC functions for storing a credit card for wine club; instead EMV or manually entering a card number should be utilized.


Getting Started

Remove the reader from the box and immediately place it on a charger using the micro USB power cord or USB C depending on the version of the reader. (The cord is only used for charging. You will normally only need to charge overnight for a full day’s use. It needs to be charged for a couple hours as it needs to have at least 50% power when it is first paired. This is very important.) 

Before you can pair your card reader with your reader, you must first register the card reader’s serial number in OrderPort Admin. This can only be done in OrderPort Admin, not in the point of sale.

1. Look on the back of your card reader to find the serial number. It will be in very small print. Please note: for serial numbers beginning with CHB3 there is a passcode that is located on the back of the reader below the serial number, this is needed in later steps and should be noted.  (Use your phone to take a photo and enlarge it if needed to see the small print.) 

2. In OrderPort Admin, go to the Point of Sale module and click over to the Bluetooth Devices tab.

3. Click Add Device. 

4. Fill out all required fields, including Serial Number, Name & Model Number and Status. Leave the status as Available. 

5. Filling out the Pairing Device (iPad/iPhone) is optional but recommended. Having the name of the Pairing Device recorded will help you in the future in case you need to troubleshoot issues. For Pairing Device, simply type something like “Tasting Room iPad 1” or “Sally’s iPhone.” Note that readers are used 1:1 with a single iPad or iPhone. 

6. Save & Close. Now you are ready to pair the card reader to your iPad/iPhone.

 





Pairing Upon Login

Once you have registered your card reader’s serial number in OrderPort Admin, you can pair it with your iPad or iPhone. Each card reader can only be paired to one iPad/iPhone at a time.

1. Make sure the reader is turned on by pressing the power button quickly. You should now see a flashing blue, showing it is in pairing mode. 

2. Open the OrderPort point of sale app and log in. 

3. As you log in, you will see a prompt: “Do you have a Bluetooth credit card reader?” Answer Yes. 

4. Next, you’ll see another question: “Do you want to setup your Bluetooth reader now? Answer Yes. If you answer No, you will be able to pair the card reader later as described below. 

5. The app will now scan for nearby card readers. If the app doesn’t find your card reader on the first attempt, it’s likely because it wasn’t turned on. Turn your card reader on and touch the refresh/scan button again. If it is still unable to find your card reader after a few attempts, skip down to the Troubleshooting steps below. 

6. You should now see the serial number of your card reader appear in the list of available card readers. Select it and press Save.

After it successfully pairs, you will see three lines in the status window: the serial number, the firmware version and the battery level as shown below. Make sure the firmware is set to 1.00.03.47, which is current as of 7/18/22 for POS version 5.x. If the firmware is not up to date or if it isn’t paired, then unpair and re-pair it according to the instructions above.

Best Practice: Attach the reader to the iPad/iPhone with double-sided foam (or Velcro) tape or put labels on the reader and the iPad/iPhone with a number or name so it is visually clear which iPad/iPhone is paired with which reader. Make sure to document their serial number and BT Paskey if you are going to put Velcro on the reader.


Pairing/Re-Pairing from Tools and About

Once you have registered your card reader’s serial number in OrderPort Admin, you can pair it with your iPad or iPhone. Each card reader can only be paired to one iPad/iPhone at a time.

1. Make sure the reader is turned on by pressing the power button quickly. You should now see a flashing blue, showing it is in pairing mode. 

2. Open the OrderPort point of sale app and log in.

3. Navigate to the Tools and then About Page.

4. Select the edit button on the left-hand side screen. If there is no reader paired it will say no reader. If a reader was previously paired it will display as red.

5. The app will now scan for nearby card readers. If the app doesn’t find your card reader on the first attempt, it’s likely because it wasn’t turned on. Turn your card reader on and touch the refresh/scan button again. If it is still unable to find your card reader after a few attempts, skip down to the Troubleshooting steps below. 

6. You should now see the serial number of your card reader appear in the list of available card readers. Select it and press Save.


Updating the Firmware and Resetting the Reader

The first time you pair the reader, the firmware will need to automatically update itself. This takes approximately 5 to 10 minutes to complete. It is very important that you let it run until it is complete and not attempt to change anything on the iPad or the reader until sufficient time has passed for it to complete. The image below provides instructions on what to expect during the firmware update.















Troubleshooting Tips:

  • Make sure the serial number on your card reader matches what you inputted in Admin > Point Of Sale > Bluetooth Devices.
  • Make sure the Status of the card reader is set to “Available” in the Admin --> Point of Sale à Bluetooth Devices. 
  • Make sure the card reader is turned on.
  • Make sure when pairing the reader is unplugged while pairing.
  • If the card reader needs to initialize, the reader must have at least 50% power.
  • Check for Mispairing
    1. Your card reader must be paired in the OrderPort app. Pairing it from your device’s Bluetooth settings will pair it with Apple, not OrderPort. This can result in multiple readers being paired with a device, or a single reader paired twice. You will not be able to process a transaction. See the image below. To check if your reader is paired correctly, open your Bluetooth settings. If the “i” symbol appears next to the Connected status, your reader is not properly paired. Tap the “i” and select Forget Device. Return to OrderPort to pair your reader with the previous steps. If the “i” is not showing, the reader is paired correctly.

  • Make sure OrderPort has access to your iPad's Bluetooth.
    When you log into the POS for the first time, Apple will ask you if you'd like to allow OrderPort to access the device's Bluetooth connections. 
    If you accidentally said no to this, you need to go to your device's settings to update the permissions. 
    To enable Bluetooth for OrderPort, go to your Settings App. On the left, search for OrderPort. 

           Tap on OrderPort and enable Bluetooth.


       


Card Reader Battery Saving Mode

The BBPOS card readers are programed to go to sleep after not being used in order to save battery life. When the card reader goes to sleep the blue light will turn off and it will show as disconnected form the Tools > About Page on the app. When you are ready to use the card reader tap the power button once prior to selecting the "credit" option at checkout. This should automatically reconnect the reader.

If you do not want to do this, you can have the card reader always plugged in. This will prevent it from going to sleep because it has a steady flow of power. OrderPort offers some base plates for you to attached to your iPad so you can have the card reader plugged into a battery pack and walk around with the reader plugged in. Diagnostic process

If you have any difficulties using your card reader with your iPad/iPhone, please run through the following troubleshooting steps.

1. Turn the reader off by holding the power button down for 10 seconds. Make sure no light is on. Turn it on while watching the Tools/About reader status. 

2. Check to see if it is paired to the iPad by going to Tools/About. 

3. If none of the above actions are successful, then it is best to perform a hard reset according to the instructions below, and then pair it according to the instructions above.

 

LED Power Indicator

No light: Reader off. Push the button to restart.

Flashing Blue: Bluetooth paired and in standby mode.

Flashing (fast) Blue: waiting to connect to Bluetooth.

Solid Blue: Bluetooth paired and in active mode.

Solid Red: reader starting up / charging battery.

Flashing Red: low battery / critical low battery.

 

Card Reader Hard Reset

The Contactless reader will need to be reset if it will not pair or if it pairs and cannot process a transaction. Below is the procedure for resetting the reader.

1. Go to Tools/About and if the reader serial number shows in the card reader section, touch Edit and Unpair.

2. With the reader turned on insert a paper clip into the reset opening and press and hold for 15 seconds. The reset opening is a pinhole located next to the power port. 

3. Release the paper clip from the reset opening. The reader will be on with a solid blue light. 

4. While still viewing the Tools/About screen touch Edit in the card reader section and the App will attempt to pair. 

5. If the reader pairs it will show the firmware version. 

6. If the reader does not pair the firmware may need to be updated. This is an automatic process that can take at least five minutes. While the firmware updates the reader will blink and flash until the process is completed. The reader section will turn green and the firmware number will show along with a battery level. 

7. Once the firmware is updated the reader will pair with your iPad/iPhone.

 

 Card Reader Warranty

In the event that the reader is not properly functioning, we would suggest Contacting your payment processor if your reader is no longer working. However, you should always contact OrderPort Support First in case we can fix the issue.


Card Reader Errors

macKsn missing. pinKsn missing. trackKsn missing.”

This error message means that the card reader is faulty. The current solution is to get a new card reader.


Peer Removed Pairing Information

The above error can occur if the card reader is paired incorrectly such as pairing directly within the Bluetooth settings of the iPad, trying to pair another card reader before unpairing and forgetting the card reader in the Bluetooth settings of the iPad.  If this error occurs follow the below steps.

 


Solution: In the OrderPort point of sale go to > tools/about > unpaired > Go to iPad Bluetooth settings and select forget card reader. From the OrderPort point of sale navigate to tools/about, select pair reader, enter the Card Reader Passkey when prompted.
