Corporate Gifting Guide

Corporate gifting is a pivitol strategy for many businesses in the alcohol industry. It involves receiving a single payment for potentially hundreds of shipping orders to a business' employees. OrderPort provides all the tools you need to seemlessly facilitate your corporate gifting strategy.

Step 1: Enable Purchase Order Payment Method

OrderPort Admin -> Settings -> Payment Processing -> Accepted Payment Methods

In the Payment Processing module, you must enable purchase orders as a payment method for 

Enable Purchase Orders as a payment method for club releases and gift memberships.

Step 2 (Optional): Create a Corporate Gifting Customer Class

OrderPort Admin -> Operations -> Customers -> Customer Classes

A customer class for corporate gifting can simplify tracking and reporting for these clients.

Step 3: Create a Corporate Customer Account

OrderPort Admin -> Operations -> Customers

This account is for the company sending out the corporate gifts. If you created a customer class for corporate gifting, assign it to this customer.

Step 4: Customize Notification Suppressions

OrderPort Admin -> Operations -> Marketing -> Notifications

If you would like to avoid sending emails to each of the recipient emails regarding account creations, gift memberships, membership expirations, etc., you can customize the notification settings in the OrderPort Marketing Module. 


Here are some suggestions: 

  • Suppress "NewCustomerAccount" on Admin.
  • Customize or supress "WineClubGiftMembershipWelcome" and "GiftMembershipExpiration". If you supress, make sure to supress on WineClub. 



You may wish to reverse these changes after finishing the corporate gifting process.

Step 5: Create Recipient Customer Accounts

OrderPort -> Operations -> Customers

For each recipient of the corporate gift, you must create a customer account. The following information is required, at minimum, for each account:

  • Email Address
  • First Name
  • Last Name
  • Shipping Address

Ensure that each customer added is opted out of email marketing, since they never signed up for marketing emails. If you are working with over 20 customer accounts, OrderPort can conduct a bulk upload of customers for you. Please contact helpdesk@orderport.net for assistence.

Step 6: Create On Demand Products

OrderPort Admin -> Products -> Catalog Manager

You must create two products: one for shipping and fulfillment cost, another for product cost. make sure the product is hidden on all platforms, with the excpetion of Admin Cart. See the examples provided below for guidance.

Step 7: Create a Winemaker Selects Wine Club

OrderPort Admin -> Services -> Wine Clubs

In the Wine Clubs module, create a new Winemaker Selects club for the release. Set the discounts to 0%. This club will be used to facilitate the creation of the shipping orders, then once complete, the club will be deleted or retired.

Step 8: Configure Gift Membership Options

OrderPort Admin -> Services -> Wine Clubs

Once the club is created, enable gift memberships forthe club and save. 



 After enabling gift memberships, you will notice the Gift Members tab appear. Go to this tab and select Use Releases, then select 1 Release. If you know your corporate client wants to run more giftings, you can choose to adjust this setting. 



Step 9: Add Recipient Customer Accounts as a Gift Memberships

OrderPort Admin -> Services -> Wine Clubs

Go to the Members tab of the club, then add all the recipient accounts as gifted memberships. Set the gifter to the corporate account and set the preferred payment method to Purchase Order. 



Step 10: Create a Club Release

OrderPort Admin -> Services -> Wine Clubs

Go through the first five steps of the club release with the special notes below. Do not process the build yet. You may choose to charge the corporate account before pushing all the gifted orders into fulfilfilment. 

Club Release Step 2:

When you add the products to the club release, select Use Custom Pricing. For each product in the gifting package, update the price to be $0. The charge for the products will be done seperately. 



Club Release Step 3:

When selecting the shipping options, enable flat rate shipping rates, and set the rate to $0. The charge for the shipping will be done seperately. 


Step 11: Create Corporate Order for Billing

OrderPort Admin -> Products -> Enter Orders

Set the customer to the corporate gifting account and disasble the Need Shipping? checkbox. Search for your corporate gifting products, then add the products to the cart based off of the number of gift recipients. 


To take payment immediately, select Credit Card or Bank. Bank is only available on the OrderPort Payments platform, powered by stripe. Bank is powered by ACH, meaning less processing fees, which is helpful in high volume transactions. For more information about ACH, see the Bank Account and Saved Payment Method Guide guide.

You can complete the order but save payment for another time by selecting Purchase Order. Purchase Orders also allow you to generate an invoice for your corporate client. For more information about Purchase Orders, see the Purchase Orders Guide.



Step 12: Complete the Club Release

OrderPort Admin -> Services -> Wine Clubs

Back in the Wine Club release, you can now push the release through step six, which will bring all the orders into fulfillment, ready to be shipped out. Complete the release, and you're done. You may now choose to delete or retire this club. You can always restore a retired club if you'd like to reuse it for future corporate giftings from the same client.
