What is WineShipping?
WineShipping is a software and fulfillment center for wineries. Our integration allows you to send your orders created in OrderPort to be fulfilled by WineShipping.
Enabling the Module
If you have an account with Wineshipping and are ready to enable the integration please email Helpdesk@orderport.net and request that they turn on the wineshipping module. Please note that the module once it is activated will display under Integrations. Until it is activated it will not show up at all. Activation will take from 1-2 business days, this includes reactivation.
Setup
Contact your warehouse and let them know that you plan to use the OrderPort-WineShipping integration. At this point, the warehouse will need to provide you with the following key data below.
- Customer No.
- User Key
- Password
Navigate to the Module from OrderPort Admin > Integrations> WineShipping. Under the Settings tab, enter the information provided by your warehouse. Then you need to decide if you want to send the OPSKU to WineShipping instead of the Part Number in the Catalog Manager for the product, check the toggle that says OPSKU mappings.
Please note that OrderPort Generates a OPSKU automatically for every product, while part numbers need to be manually entered in by the winery.
Go to the Point of Sale module under your list of Services and click on the Settings tab. Check the Ship From location on each of your tasting rooms. If desired, change the ship from location to your warehouse location.
You will need to provide your warehouse with a list of products that will keep in stock for you as well as a list of product SKUs. An easy way to do this is to pull the Catalog Report in OrderPort admin under Reports -> Standard Reports -> Compliance Reports and email this report to the warehouse.
If you are using Custom Zone Shipping Rates, you will need to ensure that each shipping type that you have added has a Known Shipping Method selected. If you do not, your orders will not successfully import into WineShipping.
Subscribe to the backorder notification. If a WineShipping order is generated, but there is insufficient inventory to fulfill the order, the order will go on backorder and will not be sent to WineShipping until the inventory issue is resolved. For this reason, it is a good idea to subscribe yourself to the backorder alert found in Operations -> Marketing -> Notifications so that you can be aware as soon as such an issue arises.
Settings
The settings tab is where you can view and update your API Authentification credentials and set up an email address if there are any errors with importing your orders.
Fulfillment
If you have not already done so, go to the Inventory module in OrderPort admin and add a location for your warehouse. If you wish for webstore orders to ship from the warehouse, you should ensure that the warehouse is set up as the Default.
The Fulfillment Tab is where you decide your fulfillment settings for each location. All of your Inventory locations will be auto-imported into this module. For each location, you will see their name and some information about them in OrderPort. If you wish to adjust any information in the first three columns this will be done in the inventory module.
The fourth column is the Fulfiller. You will need to decide whether you want to location to be fulfilled by your third party or in-house through OrderPort Fulfilment. Using the drop-down menu select who will fulfill these orders. Make sure to save your settings.
If you choose your Third-Party the Fulfill Mode drop-down will become available. There are two modes automatic and manual.
- Automatic mode will send orders through FORT to your warehouse as soon as the order is paid for without any action on your part.
- Manual mode will put orders into the OrderPort Fulfillment module where you will be prompted to push orders through manually to Fort. This option allows you to decide if you would like to Fulfill and order in-house instead of sending it to your warehouse.
Order Logs
The Order Logs tab is where you can view the current status of all orders sent to your warehouse from OrderPort. The Warehouse API module has very specifc Status to let you know the exact state of the order. You can also click on the view log button on any order to see what has happened with that order in the past.
Doing a Test Order
Now that you have set up the integration, it’s a good idea to create a test order to ensure that it successfully transfers to your warehouse.
- Set up a test customer in OrderPort. Give it a name that obviously indicates it is a test such as “Do Not Ship”.
- Create order in OrderPort Admin Cart. Make sure that all of the products that you select are products your warehouse has loaded into Fort. Also, make sure that you have sufficient inventory in your warehouse location to allow this order to go through.
- Complete the order.
- If you have selected “Automatic” as your Fulfillment Mode, then the order is already on its way to Fort. If you chose “Manual,” you will need to go to OrderPort Fulfillment and push the order to Fort.
- Check with your warehouse to make sure they got the order.
- Note: The service through WineShipping pulls orders in their system that can range between 30 minutes to an hour for it to import.
- If the warehouse received the order, then the set-up is complete. You can refund your test order. If the warehouse did not receive the order, please read the troubleshooting steps or reach out to helpdesk@orderport.net
