Wine Clubs

Wine Club Types

There are six types of wine club types. For more information, please see the OrderPort University Lesson on club types.

  • Winemaker Selects Club

Winemaker Selects is the basic club type. You will choose which wines are included in a release, and customers will not be able to customize their orders themselves. You as the winery will be able to customize carts, so customers can contact you to make changes if you allow it.

  • Customer Choice

The customer choice club allows your members to choose which wines they receive within a wine club release.

  • Case Club

Customers become eligible simply by purchasing a case of wine. After the initial purchase they continue receiving the Case Club discounts as long as they purchase a minimum of 12 bottles throughout the year. This club type does not utilize releases.

  • Tiered Case Club

Tiered clubs are similar to the normal case club, but they allow you to have different club levels. Members who buy more wine can move up a tier to receive greater benefits. Each tier can have unique discounts and products. You may also use a special club release to help members maintain the minimum purchase requirement for membership. If there was a purchase requirement of 12, and a customer purchased only 9 bottles throughout the year, the release would automatically place 3 bottles in the cart to meet the minimum.

  • Allocation Club

The Allocation club type allows you to provide exclusive releases to your members.  Members will have the ability to log in and decide if they want to participate in a release. You will be able to create tier levels, which allows a member to move up or down depending on how much wine they purchase. You will also be able to decide which wines are available to each tier and set different quantities. 

  • Subscription Club

This club type is different from a traditional club model.  Instead of creating releases charging members for bottles, you will set up a billing cycle that charges a certain dollar amount that will be added to their member accounts as credit.  This credit will then be available to the members as a payment method at your winery.


On Hold and Retain Privileges

On-hold allows you to put a pause on a customer's membership without canceling it, until a specified date. This means they will not be included in wine club releases and will not receive their discounts. When Retain Privileges is enabled, customers continue to receive their wine club discount even though their wine club membership is on hold. 


Reservations

Extended Stay 

Extended stay in the reservations module allows you to set up overnight stay and booking for customers.


Inventory

Sold But Not Shipped

This Inventory is part of an order that is paid for but not released.

Committed

This Inventory is part of an order that hasn't been paid for. For example, Pay at Pick up and order in someone’s webstore cart before checkout.

On Hand

This Inventory is available for purchase.

UOM 

UOM stands for Unit of Measure.


Catalog Manager

Group

Groups in the catalog manager can be created to organize products on the Point of Sale and Webstore. 

Collection

A collection is a type of product, where multiple SKUs are sold together as one item. For more information, please view the document on how to set up collections.

Product Type

There are six product types available. Wine, physical, reservation, collection, gift card, and on demand. Each product must be assigned a product type.

Product Category

Product categories are categories that are customizable from the catalog manager settings. They are helpful for reporting purposes.

Cost

A product's cost is how much you pay to produce or purchase each unit. It is used for reporting purposes.

Retail Price

A product's retail price is how much you charge your customers for the product.

Sale Price

Sale prices are optional. A product's sale price, if set, will strike through the retail price and replace it with the sale price on the webstore. 

Coupon Codes

Coupon codes are discounts which are applied to individual products.


Discounts

Discount Rules

Discount Rules are created to provide customers with automatic discounts at checkout based on certain conditions. These can apply to products and shipping charges. For example, you can provide free shipping for all orders over $100.

Promo Codes

Promo Codes are used to provide a discount on an order with a specialized code.


Fulfillment

To Import 

Orders that have been made through the webstore, wine club module or admin cart waiting to be fulfilled.

In Session

Orders that are being edited prior to being fulfilled. Will also include backorders and orders that declined during the fulfillment process.  

Pay at Pickup

Orders with the payment method "Pay at Pickup".

On Hold

Purchase orders that haven’t been approved by management.  They cannot be fulfilled until approved.

Customers

Customer Classes

Customer classes are used to classify your customers. A class can be given custom discounts, invoice settings, and notification settings. You can create custom classes, and each of your wine clubs will also create new classes. 

The following are the default classes that exist for all businesses:

  • Consumer

The Consumer class is the default class for all customers. 

  • Wholesale

The Wholesale class should be assigned to wholesale businesses. Orders from this class are typically untaxed.

  • Distributer

The Distributer class should be assigned to distribution businesses. Orders from this class are typically untaxed. 

  • Friends and Family

The Friends and Family class is an example of a consumer type class with a discount. This can be used to provide discounts to Friends and Family.

  • Samples

The samples class is used to track the inventory used for free samples. This ensures accurate inventory and reporting. This class has a 100% discount.

  • Donations

The Donations class is used to track the inventory used for donations. This class has a 100% discount. 


Marketing

System List

System lists are automatically created by OrderPort and display a cog to the left of the list title. 


Reports

Interval Modes

In My Reports sales reports, there are several date interval modes to select on. A single order might have timestamps for different events, and the interval mode selects which event to track the date.

  • Sale Date

The date when the order was paid for.

  • Release Date

The date when the order was picked up by the customer or shipped.

  • Order Date

The date when the order was created.

Row Count

The row count, in My Reports, is the number of orders in a group.


Users

Roles for the Point of Sale

You can adjust the permissions given to a user on the Point of Sale using these roles.

  • Associate

This is the basic role which gives the user access to the Point of Sale. 

  • Filter Excluded

This role should be given to users who will not be taking orders on the Point of Sale but may need to access things like inventory counts or reports. You will not be able to filter orders taken by this user from the manage screen.

  • Manager

The manager role has extended permissions on the Point of Sale, such as managing time cards.

  • Restaurant

This role will only be available if you use OrderPort Restaurant. This role is like the associate role, but for OrderPort Restaurant. 

Allow Active Order Unlock

This allows the user to open an order that is on another device. Doing this can sometimes cause issues with the order and should be disabled for most or all users.


Shipping

Touch Costs

If enabled, customers will be charged additional fees based on the labor it takes to ship specific items. Within each product in the catalog manager, there is a touch quantity option. The Touch Cost feature counts the total touches for all the products in an order and adds a fee based on the quantity of touches. 

Component Costs

The component costs are used to charge for special packaging on wine club orders. During the wine club release process, you will choose the components for the shipping orders.
